ERF CARAVAN AND CAMPING CLUB

CONSTITUTION

1. On Membership

a) The name of the Club shall be ERF Caravan and Camping Club.

b) Membership shall be inclusive to those members of the family, but voting right shall be restricted to the registered and his/her spouse. Proxy votes will not be accepted.

c) Only fully paid up members will be allowed to attend rallies.

2. Aims and Objectives

The Aims ad objectives of the Club shall be to establish a club of friendship, through an effective rally programme, issued each season, which will enable the Membership to attend caravanning and camping venues and activities not normally obtainable to the individual participant.

3. Conduct of Affairs

a) The affairs of the Club shall be vested in an Executive Committee of nine members, which will consist of the following:

Treasurer Secretary
Rally Secretary Assistant Rally Secretary
3 other members

Fair representation of both caravanning and camping members will make up the Committee and all shall be elected by the majority vote of those present at the Annual General Meeting, and shall take office forthwith.

b) Nominations for office will be submitted, on the appropriate form, to the Secretary not less than 3 weeks prior to the AGM.

c) The Executive Committee shall have the power to co-opt or appoint a replacement in the event of sickness or the resignation of any member of the Committee.

d) Two Auditors, consisting of two Club Members, shall be elected at the AGM.

e) In the event of the ERF Caravan and Camping Club ceasing to function all commodities shall be 'sold off' and the total monies received, together with the existing bank balance, shall be donated to charity

f) The AGM shall take place in January, following the end of the season.

4. Finance

a) The financial year shall be such that it coincides with the AGM.

b) As from 1st January 1989, the actual amount of the subscription should not be noted in the Constitution. This would enable any future committee to ask the Club members to approve a rise in subscriptions for the year immediately following the AGM, rather than from 12 months ahead, should the Club have a bad financial year.

c) Subscriptions due shall be paid at each AGM and no later than 4 weeks thereafter. Members not paid within this period must re-apply for membership.

d) Barclays Bank is the approved bank of the Club. The signature of the Treasurer and one other current Committee Member will be required on all cheques.

e) The Financial Year Statement shall be made available at the AGM for the appraisal of members.

5. Rallies

a) No rallies shall be held in the name of ERF Caravan and Camping Club without the prior knowledge of the Rally Secretary and the Committee.

b) Rallies will be collated and put in brochure form to the Membership. This will act as a receipt for subscriptions. No brochure will be issued to any member until subscription for the same has been received.

6. Revision of the Constitution

a) Any amendment to the Constitution will only take place at the AGM and will be by a majority vote. Proposals for a revision must be submitted to the Secretary 28 days prior to the AGM.

b) Notification and proposed revisions shall be made available to all members prior to the AGM.
